DFW Mid Cities Softball Interlock - Expectations and Process for Scheduling Make Up Games due to Field Closures / Rain

  • The target dates for make up games due to field closures / rain are Monday and Tuesday (but make up games may extend into Wednesday).  The objective is to get the games in ASAP to sustain the rest of the practice and game schedule.  We are trying to avoid rescheduling games weeks into the future as much as possible
  • The home league for the fields where games are cancelled creates the make up schedule (e.g. SGSA for Bob Jones, Coppell for Andy Brown)
  • For 12U make up games, the start times will be 6 PM or later due to school getting out later
  • The target date for releasing make up game schedule is Sunday mid day or earlier after Saturday game cancellations
  • Requests to consider conflicts / make up game dates must be shared by email by 12 PM on the Saturday in which there are rain outs to the scheduling coordinators (ask your league scheduling coordinator for the contact information for each home league)
  • Guidelines for what is a valid conflict / schedule request for make up games.
    • Note there is a tight turnaround on make up game scheduling and moving parts during a weekend with umpire crews / city fields so there is not a lot of flexibility
    • Requests to move make up game dates other than Monday / Tuesday are unlikely to be accommodated and should only be requested after exhausting substitute player options (including from lower division) and playing with the minimum number of players.  As an absolute last resort games will move to another week later in the calendar
    • Only situations where all or nearly all of the team has a conflict will be considered.  As an example, in situations where half the team can attend, there needs to be an effort to find substitute players to meet the minimum players
    • Examples of reasons that will not be considered for setting a makeup game schedule - Head Coach has a conflict but players can attend, pitcher coach is out, star player is out, sibling sports conflict and all parents and grandparents want to attend all games instead of splitting up, team has minimum players, team has below minimum players but has not attempted to find substitute players
      • Reminder that you can have substitute players from any team in the interlock (e.g. Coppell player can play on an SGSA team in same division)
      • Reminder that many girls LOVE playing softball and would be excited to play more games or get experience playing up a division
  • Once distributed - the make up calendar is set and no changes will be made considering umpire crew and field preparation required
  • To respect the number of families, people, league, and city folks involved - forfeiting should be an absolute last resort and attempts must be made to find substitute players and coaches
    • If necessary, forfeit notifications should be sent to the home league scheduling coordinators
